Thank you for investing in students and bringing your group to SYC. This page contains everything you need to prepare your church, your parents, and your students for camp.
A guide to the full registration process for leaders and students, including timelines, requirements, and key deadlines.

Leader Expectations
Your Role at Camp
Leaders shape the spiritual and relational atmosphere of camp. You serve as a spiritual guide, safety monitor, encourager, and culture-setter—your presence directly influences the experience students have throughout the week.
Training & Preparation
All leaders are expected to attend the SYC Leader Training. Watch your email for details on dates, times, and location. A Leader Handbook is provided for you to review before camp; we’ll walk through key sections together during the training.
Core Expectations at Camp
At camp, leaders are expected to:
- Be Present — Stay with your youth and attend all scheduled activities, sessions, and group times.
- Be Engaged — Participate fully in worship, games, meals, and conversations. Your energy sets the tone.
- Be Responsible — Help your youth stay on time, follow schedules, get enough rest, and treat others with respect.
- Be a Model — Demonstrate camp values by following the dress code, phone policy, and all SYC guidelines.
Registration Overview
Students register individually through the SYC website and select your church from the dropdown menu. This connects them to your group so you can support them before and during camp.
As a leader, your role is to:
- Help families understand the registration steps and scholarship options.
- Monitor your church’s student list as registrations come in.
- Confirm every student on your list is actually part of your group.
- Reach out to the SYC Team if a student appears that you don’t recognize so we can verify their information.

Leader Registration — Opens April 1
At least one leader from each church must register in April. This gives SYC a point person for your group and ensures you receive all leader‑specific updates before student registration opens on May 1.
2026 Registration Timeline (For Your Awareness)
These details help you guide families and plan your group’s timeline.
Early Bird Registration — May 1–May 31
$499 (GST included)
Payment must be completed by May 31 to secure Early Bird pricing.
Regular Registration — June 1–June 30
$550 (GST included)
Payments must be completed by June 30. Incomplete registrations may be cancelled.
Registration Closure
Registration closes June 30 at midnight. No new registrations or payments can be accepted after this date.
Late Registration (Special Circumstances Only)
Late registration may be considered for:
• New students who join your youth group after June 30
• Families experiencing sudden hardship
• Students who receive new funding after the deadline
This option is not for students who simply missed the deadline.
Scholarship Information
Families and churches should first explore how much support the church can provide. Parents may then complete the scholarship application form. Scholarship notifications will be sent by May 20, with funds applied directly to camper registrations.
Intern Program (Ages 18–22)
Interns serve behind the scenes, support camp operations, and grow in leadership and teamwork.

Preparing Your Group
Communicating With Parents

Organizing Dorm Groups
After June 30, you’ll receive your student list. Leaders help organize dorm grouping based on:
- Age
- Friendships
- Relational needs
- Students who should or should not room together
Submit your groupings to SYC so we can finalize room assignments.
Travel & Departure Prep
- Confirm all students and leaders are registered
- Finalize transportation
- Hold a parent meeting
- Share packing lists and expectations
- Coordinate fundraising if needed
- Attend SYC Leader Training
First Day at Camp
- Smooth check‑in
- Helping students settle into dorms
- Managing medications
- Ensuring students attend all sessions
- Supporting students emotionally and spiritually
Managing Medications & Medical Needs
- Collecting medications in original packaging
- Understanding each student’s medical needs
- Storing medications securely
- Administering them as needed
- Communicating urgent needs to the SYC Team
Preparing Your Students

Final Morning & Heading Home
- Pack belongings and bring them to the Maxwell Center
- Clean dorm rooms (garbage out, surfaces wiped, mattresses left in room)
- Check all drawers, closets, and cubbies
- Dorm inspection begins at 8:45 a.m.
- Once cleared, your group may depart
- The last leader signs out at the SYC office
